Information we collect from you when you make an enquiry and / or booking:
Whether you make a booking online or over the phone, we will collect and process some or all the following data about you:
Full names of all participants, email addresses, home addresses, phone numbers, and ages of children (under 16 years old).
Personal information about your additional needs will be kept in order for us to provide you with any support necessary to access the activities we offer.
We will also keep records of payments made by you to us, although specific details of any payment cards used will not be stored.
Whilst booking you will be asked the following: We would like to send you information outside of our standard booking emails to keep you up to date on our news and future events. We’ll send emails approximately 3 or 4 times a year?
- Yes, I would like to receive your emails.
- No, I would not like to receive your emails.
You will be asked to select YES or NO. If you choose NO, you will only receive emails that relate to your booking.
Information we collect from you when you take part in an activity:
You will complete a Registration Form and Customer Record Form when you first undertake an activity with us. This asks for name, date of birth and email address for each participant. It also asks for an emergency contact name and contact number, plus a description of any existing conditions (such as medical issues) that we need to be aware of. This information will be used by us and kept in a locked store. This information will only be shared between our staff and not with a third party (unless required for legal reasons).
If there is an accident or incident during the activity you will be asked to complete a form which describes what happened and any actions taken by the instructor involved. This will be used to improve our safety procedures and not shared with a third party (unless required for legal reasons).
What we do with the information we gather:
We require this information to understand your needs and provide you with a good experience, in particular for the following reasons:
- Internal record keeping and management of your booking.
- We use the information about your health and other conditions to attend to your safety whilst you are participating in an activity with us.
- We may use the information to improve our products and services.
- We may periodically send promotional emails about new activities, special events or other information which we think you may find interesting using the email address which you have provided if you have selected ‘Yes’ to receiving emails from us.
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
